Importing Outlook Contacts to MyFAU

Use this procedure to import your Contacts in Outlook into your MyFAU Address Book. By following these steps you can easily build your contacts information in MyFAU without having to re-enter all of your contacts individually.

Before you can start the process, you must have the Microsoft Outlook Translator installed. Outlook will prompt you to install the Translator if it is not already in the MS Office Suite.

Install the Translator

  1. Place the MSOffice CD in your CD Rom drive
  2. Run setup.exe
  3. Select Add/Remove Features
  4. Select update
  5. Click on OK to complete the process.

Once the Translator is installed, you will need to

  1. export your contacts from Outlook, and then
  2. import those contacts to MyFAU

Exporting your Outlook contacts:

  1. Open MS Outlook.
  2. Open your Contacts.
  3. Open the File menu and select Import/Export . The Import and Export Wizard will open.
  4. In the Wizard window, select Export to a File (it’s the first option) and then click the Next button. A window labeled Export to a File will open.
  5. Select Comma Separated Values(Windows) as shown below, and then click the Next button.

  6. A new window will open showing all your Outlook folders. Make sure that your Contacts folder is selected. If it is, click the Next button. If it isn’t, find Contacts in the list, click on it to select it, and then click the Next button.
  7. A window will open where you give the exported contacts file a name (such as “exported_contacts”). Either enter the full directory path of where you want the file to be or click the Browse button, navigate to the directory where you want to put the file (desktop or My Documents is a good place), and then type the name of the file. Once you have entered the file name, click the Next button.

  8. A new window will open that lets you map the individual fields, or elements, of your Outlook contacts to fields in the MyFAU Address Book. You can usually accept the default mapping. Click the Finish button. Outlook will then create the file of contacts and place it in the directory you indicated.

Importing Contacts into MyFAU

  1. Log into MyFAU.
  2. Click the E-mail icon in the upper right corner of the MyFAU window.
  3. Once the e-mail client has opened, select the Address Book tab.
  4. Click the Import/Export button on the far right of the Address Book window. A window labeled Import/Export Contacts will open.
  5. In the section labeled Import , select MS Outlook from the available choices in the dropdown box of Step 2 (“Select the program used in step 1”).
  6. In step 3, use the Browse button to find the file of exported contacts you just created from Outlook.
  7. Once you have found the file, click the Import Now button. The contacts will start to be imported, and when done you can click the Done button.

All of your contacts information from Outlook should now be available to you from within MyFAU.

Note that the Address Book lists name with the last name first. If you have contacts without a last name, then the name will be listed with “Blank” as the last name. You can then edit the contact so that it will be sorted correctly (if you remove “Blank” from the last name field, the name will be sorted to the top of the list of contacts with a blank space followed by a comma followed by whatever is in the first name field. “Blank, Jane” would display in the list as “ , Jane”.
